IUPUI DataWorks: Policies

IUPUI DataWorks is subject to the policies of Indiana University. IUPUI researchers inclusive of faculty, staff, and students can submit data to IUPUI DataWorks as long as they fall within our collections policy. Policies and Terms are subject to change.

Who can deposit data? (Collection Policy)

IUPUI DataWorks is available to all researchers who are currently affiliated with IUPUI as faculty, staff, or students. At least one member of the research team that generated or collected the data must be affiliated with IUPUI and have an active IU account at the time of deposit.

What types of data are accepted?

IUPUI DataWorks accepts research data at no cost that meet the following collection criteria:

  • Data must be created by at least one IUPUI researcher with an active IU account
  • Data must not contain any protected data elements, such as private, confidential, or other legally protected information (e.g., Personally Identifiable Information, Personal Health Information). See the IU Data Classifications and Data Security & Handling Tool (DSH Tool).
  • Data must be deposited for open access, which means that visitors to IUPUI DataWorks may download and reuse the data. Data that is not suitable for reuse should not be shared in the Data Repository.
  • Data are digital, and each file must not exceed 20 GB. Larger data files are considered on a case-by-case basis. Please contact us to discuss larger data sets.
  • The data should be in a final publishable state.
  • Data should consist of original and/or unique data that cannot be easily acquired elsewhere.
  • It is the responsibility of individuals who are submitting data to make sure that they have the necessary rights or permissions to share any materials they did not themselves generate. 

What types of data are out of scope?

  • Data for which the depositor cannot reasonably assert a license governing usage and access to the data.
  • Data that contain elements that are classified as restricted or critical data, or which contain elements of protected information (e.g., Personally Identifiable Information, Personal Health Information, export-controlled information, etc.)
  • Dynamic data (continuously updated data) are outside the scope of IUPUI DataWorks, however, the Repository Manager will consider archiving snapshots and significant versions of these types of data.
  • Data that are analog in format.
  • Raw data that have not been processed or documented.
  • Data that is insufficiently documented for sharing and reuse.
  • Data containing elements or information that is protected by copyright and which did not originate with the individual or team submitting the information.

Preservation Policy

IUPUI DataWorks accepts data files in all digital formats, however, digital preservation support will be provided at different levels for specific formats. In order to meet various compliance requirements, and to support reuse of data, the data housed in IUPUI DataWorks will be preserved at the appropriate level for at least 10 years following acceptance. Published data that is found to violate Indiana University policy or IUPUI DataWorks policy can be removed by the repository administrators at any time in accordance with the withdrawal policy.

Who can access data in IUPUI DataWorks? (Access Policy)

IUPUI DataWorks is an open access repository and makes collection holdings freely available, worldwide. Open access data are available for immediate download. Users may contact the author with questions regarding the data. Authors may choose to apply a Creative Commons license to their data, which will give users certainty that they do not need permission for any uses allowed by the license. However, even without a Creative Commons license, users will be able to download and use data - subject to the Terms of Use.

What can people do with data shared in IUPUI DataWorks? (User Permissions)

IUPUI DataWorks is an open access repository and makes holdings freely available. End-users may download and use posted materials in any manner not prohibited by copyright or other applicable law and subject to the DataWorks Terms of Use. Although DataWorks does not grant end-users any rights in the posted material, authors may choose to apply a Creative Commons license to their data. This gives end-users clarity around the use of the data without seeking permission and as allowed by the Creative Commons license.
